TERMS AND CONDITIONS FOR WESTSIDE PICKLEBALL CLUB

1. General Membership Terms

• Memberships grant access to Westside Pickleball Club based on the selected package (e.g., Annual, Monthly Annual, 3-month and Drop-In).

• All memberships are non-transferable and assigned to the original purchaser.

• Members agree to abide by all club policies, waivers, and staff instructions.

• Westside Pickleball reserves the right to modify hours, court access, and amenities to accommodate events, maintenance, or programming needs.

 

2. Refund & Cancellation Policy

• All memberships are final sale as of January 1, 2026.

• Refunds requested within 7 days of purchase and before December 31, 2025, will be granted, minus a $25 administrative fee.

• No refunds will be issued after January 1, 2026.

• Refunds are not issued for missed time, personal scheduling conflicts, or voluntary withdrawal. Exceptions may be considered in the case of permanent relocation or verified medical circumstances.

 

3. Court Booking Policy

• All court bookings at Westside Pickleball must be made through our online reservation platform, CourtReserve. Booking privileges are determined by your membership tier. To ensure fairness and maximize court access for all players, please review the booking rules below:

a) Founding Membership (1-year commitment, paid in advance)

• May reserve courts up to 14 days in advance

• Unlimited play included (no court fees)

• Open play, founding member socials and round robins included

b) Annual Membership (Monthly or paid in advance – 1-year commitment)

• Unlimited play included (no court fees)

• May reserve courts up to 10 days in advance

• Open play and round robins included

c) 3-month Membership (Paid in advance – 3-month commitment)

• May reserve courts up to 10 days in advance

• Unlimited play included (no court fees)

• Open play and round robins included

d) Drop-in Guests

• May reserve courts up to 3 days in advance

• Pay-per-play at the current guest rate

 

4. All Users (Drop-in Guests & Members)

• Must complete a digital waiver prior to first visit

• Subject to the same behavior, cancellation, and footwear rules as all members

• Limited to available hours outside of league or event priority blocks

• Court reservations must be cancelled at least 4 hours in advance to avoid a no-show penalty

• Repeated no-shows or last-minute cancellations may result in temporary suspension of booking privileges

• Non-marking indoor court shoes are mandatory

• Westside Pickleball reserves the right to reassign courts or adjust scheduling as needed for leagues, private bookings, clinics, or club programming.

 

5. Code of Conduct:

• Members, guests, and staff are expected to uphold a respectful and inclusive environment.

• Treat everyone with respect and abide by fair play.

• Follow game rules, instructions from staff, instructors, and tournament directors.

• Use appropriate footwear and keep courts clean and clear of non-play items

• Verbal abuse, aggressive conduct, or discriminatory behavior will not be tolerated.

• Practice honest line calling.

 

Events, Tournaments & Leagues

• By registering for any organized program (event, tournament, league), you agree to all associated rules and waivers.

• Refunds for paid events follow individual event policy, which may differ from general membership refunds.

• Event dates and formats are subject to change.

 

6. Common areas / Lounge Area

• Spectators must remain in designated areas and may not be disruptive

• Players may not enter the court until the start of their court time and must leave their court in a timely manner when their court time is has ended.

• Westside Pickleball is not responsible for lost or stolen items.

 

7. Facility Rules & Amenities

• Children under the age of 16 require adult supervision and are not permitted to play without an adult present.

• Paddle rentals must be returned at the end of the booked court time. Failure to return the paddle will result in a $50 restocking charge.

• All sales are final for all merchandise and equipment sales unless a defect is present.

 

8. Membership Suspension or Termination

Westside Pickleball reserves the right to suspend or revoke any membership for:

• Repeated rule violations

• Abusive, unsafe, or illegal behavior

• Failure to follow staff instructions

• Damage to club property

 

9. Photo & Video Consent

By entering Westside Pickleball, you consent to being photographed or filmed for:

• Club promotions

• Social media content

• Event and tournament coverage

To opt out, written notice must be provided to management in advance.

 

10. Payment Defaults

Unresolved payment issues related to events, merchandise, or services:

• Must be resolved before further bookings or participation

• May result in account access restrictions

 

11. Club Closure & Force Majeure

In case of forced closure (e.g., fire, flood, government mandate):

• Memberships may be paused and resumed upon reopening

• Refunds are not guaranteed for closure-related disruptions

 

12. Waiver of Liability

All players and guests must complete a waiver before using the facility. By signing, you agree that:

• Participation carries physical risk

• You release Westside Pickleball and its staff from liability or property damage

• You waive the right to legal claims related to participation

 

13. Privacy Policy

Personal data collected through CourtReserve or onsite is used for:

• Booking management

• Payment processing

• Club communication

Data is never sold or shared for third-party marketing. Members may opt out of promotional emails at any time.

 

14. Policy Changes

These Terms & Conditions may be updated at any time. Significant changes will be communicated via email.
